Job Description
The University of Nevada, Reno is recruiting for two (2) Event Planning positions for the College of Business as either an Associate Coordinator or a Coordinator.
The Associate Coordinator, Event Planning is responsible for coordinating events and large conferences and provides support for the development of participant registration services (i.e. registration database and necessary forms) in cooperation with conference sponsors. The Associate Coordinator serves as the primary contact for customer service inquiries and works closely with event planning committees to develop event planning timelines, training calendars, agendas, logistics plans, and participant needs and advises planning committees on best practices for successful events. Other duties include, managing, preparing, packing, and shipping inventory, supplies, and event purchases to and from events and assisting the Coordinator, Event Planning to create event reports as required by contracting agencies within reporting deadlines
The Coordinator, Event Planning is responsible for creating a draft timetable outlining conference deliverables and completion dates. The incumbent performs various conference preparation activities; manages event staff schedules; works directly with conference sponsors to carry out logistics activities; and negotiates contracts and fees with speakers/presenters, as well as, with facility/venue representatives, and supervision of associate coordinators. Other duties include, creating policies and procedures used to support successful events, including the implementation of conference registration guidelines, research, recruit, and secure vendors and exhibitors for event sponsorships and create event budgets, in consultation with the Contract Manager and oversee the competitive scholarship process for attendees.
The Manager, Event Planning is responsible for overall event management, supervision of staff, and monitoring subcontractor activities in accordance with guidelines and timelines established by the funding agencies. The incumbent manages the allocation of event resources and works in collaboration with the Contract Manager and Chair to provide budget oversight to ensure scope of work and training deliverables are met.

Associate Coordinator, Event Planning
High School Graduation and three (3) years of related work experience; OR an Associate’s Degree and two (2) years of related work experience; OR a Bachelor’s Degree and one (1) year of related work experience; OR a Master’s Degree and no work experience required.
Related Experience: Event coordination and management; program and project planning; speaker and vendor negotiation and mediation, excellent customer service.
Coordinator, Event Planning
High School Graduation and four (4) years of related work experience; OR an Associate’s Degree and three (3) years of related work experience; OR a Bachelor’s Degree and two (2) years of related work experience; OR a Master’s Degree and one (1) year of work experience.
Related Experience: Event coordination and management; program and project planning; speaker and/or vendor negotiation and mediation; policy and/or budget development; employee oversight and scheduling
Manager, Event Planning
High School Graduation and five (5) years of related work experience; OR an Associate’s Degree and four (4) years of related work experience; OR a Bachelor’s Degree and three (3) years of related work experience; OR a Master’s Degree and two (2) years of work experience.
Related Experience: Event coordination and management; program and project planning; speaker and/or vendor negotiation and mediation; policy and/or budget development; employee supervision; contract and/or budget development and management; proposal development.
Preferred Qualifications
Experience with developing and managing on-line event management systems including fiscal components such as collecting registration sponsorship revenue, making deposits, issuing refunds.
Experience with hybrid and/or virtual events
3 years of customer service support including managing multiple phone lines and email accounts

This position will travel out-of-state for multiple consecutive days a month.
